Organization Management
LanMate uses an organization-level “admin console + client” management model: organization administrators centrally configure licenses and other information on the admin console, and clients sync automatically — no manual action needed from users. This page is intended for organization administrators and IT owners, explaining the client-side license mechanism and how expiry is handled.
License Sync
The LanMate client pulls your organization’s license information from the admin console, caches it locally, and refreshes it periodically — no manual action needed.
Sync happens automatically at these times:
| Sync Timing | Description |
|---|---|
| Client startup | Pulled automatically at launch; the main interface appears when done |
| When making requests to the admin console | Refreshed along with every communication with the admin console |
| Scheduled refresh | Automatically refreshed once 4 hours have passed since the last pull |
The synced content includes the organization’s licensed seat limit and license validity period. After the license changes on the admin console, the client picks it up at the next scheduled refresh at most 4 hours later; restarting the client picks it up immediately.
If a pull fails due to network issues, the client prioritizes the locally cached license information and doesn’t interrupt your use, retrying automatically at the next sync timing. If there’s no local cache at first launch and the pull fails, the client doesn’t block usage but shows a notice at the top of the home page: “Unable to retrieve license information; some features may be limited.”
Impact of License Expiry
When the client’s current time passes the license validity period issued by the admin console, the license is considered expired. After expiry, the client blocks all submission-type operations:
| Operation | Available After Expiry |
|---|---|
| Sending messages (home page, in conversations) | No |
| Creating, editing, and running Scheduled Tasks | No |
| Lansenger channel conversations | No — the personal bot automatically replies with a license-expired notice |
| Viewing past conversations and messages | Yes |
| Viewing installed skills | Yes |
| Viewing settings | Yes |
| Connecting to the admin console to refresh license status | Yes |
While the license is expired, a persistent banner appears at the top of pages: “License expired. Some features are limited — contact your administrator.” You can still browse history records as usual. Contact your organization’s administrator to renew the license; once the license is restored, all limits are lifted automatically — no reinstall or reconfiguration needed.
Also, when the organization’s licensed seats reach the limit, existing users are unaffected; new users signing in see the notice “Licensed seats are full — contact your administrator to expand capacity.”
FAQ
Can I still view history records after the license expires?
Yes. License expiry only blocks submission-type operations like sending messages; viewing past conversations, installed skills, and settings is unaffected. The limits lift automatically after you contact the administrator to renew the license.
